To Archive Or Not To Archive: What’s In It For Your Business?

The number of cases where email is required to be produced and presented to a court as evidence is increasing. Current Federal Rules of Civil Procedure (FRCP) went into effect December 2006, and require businesses involved in federal court cases to identify, preserve and collect electronically stored information. These rules are the latest among regulatory requirements issued by an advisory committee of the Judicial Conference of the United States which govern the storage and recovery of electronic information, including the length of time business email is retained, the manner in which it must be preserved and specific message review requirements, validating the growing need for a centralized, multitasking mail repository. In addition, the increasing likelihood that email can be required for legal discovery encourages businesses of all sizes to enhance their email retention strategies to mitigate risk.

Have replies sent to a different address

Do you need to send an email from your account but would like replies sent to a different email address or additional recipients?

You can do this with both Outlook 2007 or Outlook 2003.

When composing a new message, click on the “Options” tab. Then, click “Direct replies to”, and a new window will open. You can type in alternative or additional email addresses in the “Have replies sent to” field, or select the recipients from your address book.

The results of a messaging archiving survey of business decision makers include:

of all legal actions in the U.S. require email to be produced as part of the discovery process
of organizations have been ordered by a court or regulatory body to produce employee email
of organizations have no policies in place to prevent employees from deleting important content
of organizations are concerned or very concerned about compliance with the new FRCP amendments
of organizations back up local message stores to a central location
